Job Description
Join our Finance team and help deliver accurate payroll, meaningful labor reporting, and a positive experience for our Heartists®.
Working closely with Finance, People & Culture, and department leaders, you will play an essential role in coordinating our biweekly payroll process, supporting accounting and HR administration, and assisting with the implementation of an upcoming payroll system upgrade. This role is ideal for a detail-oriented and goal-driven individual who enjoys working with numbers, takes pride in achieving results, and is passionate about improving processes and creating greater efficiency. You will also serve as a trusted resource for our Heartists and leaders, providing support with care, professionalism, confidentiality, and discretion.

Payroll Administration & Compliance
- Coordinate accurate and timely biweekly payroll processing for all hotel employees, obtaining required documentation and approvals before submission.
- Review timekeeping records, missed punches, overtime, paid time off, pay adjustments, deductions, and applicable tips and service charge allocations.
- Partner with department leaders to resolve payroll discrepancies and respond promptly and confidentially to employee questions.
- Maintain complete payroll records and supporting documentation in accordance with company policies, Focus Audit requirements, and applicable regulations.
- Audit schedule changes for Philadelphia Fair Workweek compliance, verify predictability pay calculations and documented exceptions, and ensure approved payments are included in payroll.
- Identify recurring payroll and scheduling issues, escalate findings, and follow up on corrective actions with Finance and Talent & Culture.
Payroll System Upgrade
- Serve as the hotel’s payroll coordination contact during the deployment of the payroll and timekeeping system upgrade.
- Support data validation, earning and deduction code mapping, accrual balances, reporting requirements, and approval workflows.
- Participate in user testing and parallel payroll reconciliations to identify discrepancies before launch.
- Help prepare procedures and training materials, assist department leaders with adoption, and track issues through resolution after launch.
Labor Reporting & Analysis
- Prepare and distribute accurate daily labor reports and weekly payroll summaries.
- Compare actual and scheduled hours and labor costs against budget, forecast, and business volumes.
- Highlight overtime, agency labor, predictability pay, and other significant variances for management review.
- Work with department leaders to improve reporting accuracy and support informed staffing decisions.
Staff Accounting Support
- Prepare payroll journal entries, payroll accruals, and related balance sheet reconciliations.
- Support month-end closing and other duties as assigned by ensuring payroll expenses are accurately recorded and allocated by department.
- Assist with accounts receivable, accounts payable, income audit, inventory management, account reconciliations, and other accounting duties as assigned.
- Review daily operations audit packets, investigate missing documentation or discrepancies, and support compliance with internal controls.
- Assist with payment processing and management of hotel insurance and benefit programs (transit, 401k, etc.)
HR Coordination
- Assist with the maintenance, organization, and periodic auditing of employee personnel files to ensure records are complete, accurate, and compliant with company requirements.
- Assist with HR compliance reporting and data reconciliation in collaboration with Payroll and HR systems.
- Serve as a point of contact and liaison between Heartists, leaders, Payroll, and People & Culture regarding payroll and HR-related questions and concerns.
- Support the communication and implementation of HR policies, procedures, and updates, particularly those impacting payroll, timekeeping, scheduling, and HR systems.
- Assist with monitoring HR and payroll-related deadlines, follow-ups, and required documentation to ensure timely completion.
- Maintain confidentiality and accuracy when handling employee information, payroll-related matters, and personnel records.
- Provide administrative support to the People & Culture team on HR projects, audits, employee communications, and other departmental initiatives as needed.
Qualifications
Your experience and skills include:
- Previous experience working in a hotel strongly preferred
- At least two years of relevant payroll and accounting experience, preferably in a hotel or hospitality environment.
- Experience processing payroll and reconciling timekeeping and payroll data.
- Understanding of payroll controls, wage and hour requirements, and confidential employee record handling.
- Familiarity with Philadelphia Fair Workweek requirements and predictability pay auditing preferred.
- Experience with Dayforce or a comparable payroll and HR system; system implementation or upgrade experience is an advantage.
- Working knowledge of journal entries, accruals, account reconciliations, and month-end closing.
- Strong Excel skills, including formulas, lookups, and pivot tables.
- Exceptional attention to detail, organization, and ability to meet recurring deadlines.
- Strong communication skills and a service-oriented approach to supporting employees and department leaders.
- Previous HR coordination experience preferred.
- Experience with Opera Cloud and Silverware is an advantage.
- A degree or coursework in Accounting, Finance, Human Resources, or a related field is preferred; equivalent relevant experience will be considered.
- Fluent in English; additional languages are a plus.
