Demonstrated experience supervising administrative or back-office staff in a healthcare setting. Experience working with Electronic Health Records (EHR) and practice management systems. Job Purpose The Psychiatric Operations Director provides administrative and operational leadership for psychiatry and related integrated services at Health Solutions West. This position ensures efficient clinic operations, staff coordination, and performance monitoring to support high-quality, accessible patient care. This role is primarily operational and administrative in nature. The Psychiatric Operations Director directly oversees psychiatry back‑office, serves as a key operational partner to psychiatric, medical and administrative leadership. Essential Duties and Responsibilities Operations and Practice Management Oversee provider and support staff scheduling processes to ensure optimal coverage, access to care, and efficient use of clinical resources. Monitor and support team productivity, including appointment utilization, scheduling efficiency, and workflow optimization. Collaborate with psychiatric and medical leadership and administrative staff to develop and maintain scheduling templates that align with productivity expectations and patient demand. Review productivity and access data on a regular basis to identify trends, gaps, and opportunities for improvement; implement operational adjustments as needed. Ensure back‑office workflows and scheduling practices support timely patient access, continuity of care, and efficient clinic operations. Partner with leadership to address productivity barriers and support performance improvement in accordance with organizational standards. Oversee day‑to‑day administrative and operational functions of psychiatry services to ensure efficient clinic workflows and patient access. Identify operational challenges and implement process improvements to enhance clinic flow, scheduling efficiency, and service delivery. Monitor operational performance indicators such as appointment utilization, access metrics, and no‑show rates; report trends to leadership. Back Office Staff Oversight Directly supervise psychiatry back‑office staff, including Medical Office Assistants and other assigned administrative personnel. Oversee staffing schedules, workflow distribution, and day‑to‑day task management for back‑office teams. Conduct performance evaluations, coaching, and corrective action in accordance with organizational policies. Support hiring, onboarding, and training of back‑office staff in collaboration with Human Resources. Foster a collaborative, professional, and patient-centered work environment. Logistics & Coordination Support Assist with logistical coordination related to integrated services as needed, without direct program management responsibility. Coordinate provider onboarding logistics, scheduling templates, and clinic coverage supports. Serve as a liaison between clinical teams and administrative departments (HR, IT, Finance, Facilities). Systems, Compliance & Reporting Maintain proficiency in the Electronic Health Record (EHR) and associated systems to support operational consistency and data accuracy. Support adherence to organizational policies, payer requirements, and regulatory standards through effective administrative processes. Assist with operational reporting, audits, and documentation as requested by leadership. Knowledge, Skills, and Abilities Strong organizational, analytical, and problem-solution skills. Ability to prioritize and manage multiple competing demands in a fast-paced clinical environment. Excellent written and verbal communication skills. Ability to build effective working relationships across multidisciplinary teams. Proficiency with Microsoft Office (Word, Excel, Outlook) and healthcare information systems. Working Conditions / Physical Demands Primarily office-based in a clinical setting. Requires extended periods of sitting and computer use. Occasional travel between Health Solutions West sites may be required. May be exposed to stressful clinical environments and sensitive situations involving patients with complex behavioral health needs.
