You review each referral and decide if it’s a fit for our practice. A background in ophthalmology helps you quickly understand diagnoses as you dig into charts, match patients with the right provider, and move things forward without hesitation. You stay on top of patients and follow up until they are fully scheduled. No dropped balls. No loose ends slipping through. You keep referring providers in the loop so they feel confident and supported in their patients’ care. That relationship matters, and you help keep it strong and responsive. You also run the records process. You send and receive medical records for patients and providers, making sure everything flows smoothly and nothing gets stuck along the way. You handle records audits and submit invoices for chart requests accurately and on time. You keep the whole referral system moving. Fast, accurate decisions keep patients flowing and schedules full. Miss a detail and patients fall through the cracks. Execute well and you keep surgeons busy, providers happy, and the system running clean and efficient. What You Will Do Review all incoming referrals for accuracy, completeness, and medical appropriateness Determine whether a referral aligns with our providers and services Accept or decline referrals based on clinical criteria and practice scope Coordinate scheduling and ensure timely patient access to care Communicate clearly with referring offices, patients, and internal teams Verify insurance and obtain prior authorizations when needed Track referral status and close the loop with referring providers Manage medical records requests from outside entities and ensure timely, accurate responses Handle insurance audits, including gathering documentation and ensuring compliance Build and maintain relationships with PCPs and optometrists Actively support outreach efforts to grow and strengthen referral sources What You Need Experience in ophthalmology (strongly preferred) Strong understanding of referral workflows, insurance, and authorizations Experience handling medical records requests and insurance audits Ability to make judgment calls on referral appropriateness High attention to detail and follow-through Clear, direct communication skills Ability to manage volume without losing accuracy Bilingual in Spanish and English (preferred) What This Role Is Not Not data entry Not a passive scheduling role Not for someone who avoids accountability What Success Looks Like Clean, complete referrals with minimal delays Strong audit readiness and zero missed deadlines on records requests Strong relationships with referring providers Consistent growth in referral volume Surgeons scheduled with appropriate, qualified patients Why Join Us You will sit at the center of patient access, provider relationships, compliance, and growth.
