Lodi, CA – Hospital Medicine Practice Administrator – Hybrid As a Practice Administrator, you will provide direct business operations support to our medical directors, site physician partners, advanced providers, and scribes (when applicable) at Adventist Health Lodi Memorial. The Opportunity Act as the operational administrator for the site Vituity leadership and as the interface between the practice and the hospital and community. Serve as the front‑line liaison for the provider team with hospital C‑Suite, nursing leadership, nursing staff, and Vituity support team. Provide executive support to the site medical director and management team to meet contract expectations. Handle all site financials, including contract stipends, expense reimbursements, and site payroll timecards. Act as the super‑user for all Vituity software applications and point person for hospital software and hardware systems. Support providers who act as percipient witnesses in criminal or civil disputes, including routing subpoenas and scheduling depositions and trial testimony; develop provider fee schedules and manage malpractice carrier relationships. Manage office operations such as meeting coordination, office systems, supplies, site events, and customer service. Facilitate daily patient census and attend daily multidisciplinary rounds, as applicable to the practice line. Ensure adequate coverage of site clinical schedules, preventing disruptions to patient care. Collect, track, and analyze all site financial and operational data. Project manage operational programs, including Operations Meetings, Patient Experience Program, Quality/Performance Improvement Program, Advanced Provider and/or Scribe Programs, and Student or Resident rotations. Oversee recruiting and onboarding for new providers, employees, locums, reservists, residents, and students. Ensure licensed providers complete recredentialing timely and appropriately for all required licensing, certificates, and credentials. Maintain compliance with Vituity and hospital programs, including mandated training or requests. Serve as the point person for Vituity People Operations (Human Resources) relations, maintaining accurate site roster and employment law compliance. Develop and maintain site orientation checklists and manuals. Collaborate with Medical Director and Site Management Team to develop and maintain site practice policies and procedures. Manage medical records and data submission to Revenue Cycle Management, ensuring timely charge capture and compliance with billing documentation. Ensure billing and documentation compliance through completion of site WIP/TAD lists and monthly meetings with the billing team. Handle completion of mandated forms and requests, including death certificates, physician office requests, state worker’s compensation and motor vehicle department reporting, and pharmacy requests. Required Experience and Competencies Two to three years of experience in an office or healthcare setting. Associate or Bachelor’s degree in Business Administration, Human Resources, or related field strongly preferred. Experience working in the healthcare field preferred. Knowledge of healthcare and medical terminology preferred. Knowledge of general Human Resource principles preferred. Knowledge of federal, state, and local agencies regulating the healthcare industry preferred. Intermediate to advanced proficiency in MS Excel, Word, PowerPoint, and Outlook. Strong consultation skills and ability to seek out information. Strong work ethic, organizational skills, and interpersonal skills. Ability to prioritize and work in a stressful environment. Self‑directed, motivated, and deadline‑sensitive. Excellent verbal and written communication skills in English. Annual volume of 7,396 admissions. ICU days and EM nights – staff expected to support/run. No procedures or vent management required; intensivist primary rounter 7am‑5pm.
